Vancouver- Litigation Support Clerk

The Litigation Support Clerk will support the Paralegal Candidate and Litigation Support Specialist directly, and provide general assistance to Vancouver Litigation lawyers and staff on the support activities listed below. The candidate will have a primary focus on assisting with document management activities, but will be responsible for other administrative tasks to support the department overall. Ideal candidates will have a strong aptitude and interest in technology as this role has a technical focus. The environment is very fast-paced, and is ideal for candidates who are excited about being part of a high performing team.

The entire Vancouver Litigation support team engages with other Litigation paralegals and team members firm-wide in order to discuss best practices, professional development and the overall goal of providing maximum value-added services to our lawyers and clients.

Principal Duties and Responsibilities:

  • Assist Litigation Support Specialist in managing Litigation documents using electronic database systems such as Summation or Casemap;
  • Organize, stamp, scan and load documents into paper or electronic systems, as appropriate;
  • Generate initial objective coding or descriptive summary of documents as delegated to ensure that documents are easily accessed through electronic searches;
  • Draft initial form of hard copy list of documents as delegated;
  • Provide backup to the Litigation Support Specialist, in conjunction with the IT department, as a Litigation systems resource for lawyer requests such as loading documents, creating CD’s, creating load file and/or briefcases for electronic exchange, conducting document searches, etc.;
  • Assist with preparing document binders, generating lists of documents by topic, organizing documents for presentation;
  • Liaise with third party service providers for scanning and processing documents as needed;
  • Provide general support to Paralegal Candidate and Litigation Support Specialist on clerical and administrative tasks such as drafting letters, processing cheque requests, etc..

Knowledge, Qualities & Experience Required:

  • Minimum of 1-2 years’ experience in a law firm or legal department;
  • Completion of a Legal Administrative Assistant Certificate;
  • Knowledge of Litigation processes and court procedures;
  • Proficient in MS Office (Word, Excel, Outlook), and Adobe;
  • Resourceful, able to work independently to research answers, and able to provide a high volume of accurate and timely work;
  • Excellent organizational and time management abilities required to prioritize a high volume of tasks or competing priorities;
  • Work well under pressure in a fast-paced environment;
  • Able to work well independently and as part of a team;
  • Adaptable and flexible to handle changing priorities;
  • Strong learning ability;
  • Dedicated to providing service beyond expectations;

Duties & Responsibilities

  • Daily correspondence, document preparation, dicta-typing, drafting and filing court documents;
  • File preparation and management;

  • Update and revise a variety of often lengthy documents;
  • Maintain records of all client files, related records and general files;
  • Edit, format, print and revise letters, memos, reports, forms, labels and other printed material using Word, Excel, PowerPoint, from dictation or other instruction as required;
  • Perform a variety of routine tasks as well as special projects as required;
  • Answer the telephone, route callers, take messages and provide routine information to callers;

  • Minimum two years' previous Legal Assistant experience in Corporate Commercial required;

Several offices host Legal Administrative Assistant practicum placements throughout the year.  Our goal is to provide a valuable experience for the student as they begin to apply what they have studied in school.
